Job Summary
Act as custodian/coordinator of medical records. Participate in the implementation of agency procedures regarding medical records. Provides support to receptionist and assists with projects. Aid in the administration of the day to day operations of the Agency data; perform data entry into the client data base systems
Essential Functions
- Perform the client record keeping procedures, including opening and closing cases, filing, maintenance, storage, medical releases, and data verification according to Agency and professional guidelines.
- Provide backup support to receptionist/front office duties to include: greet visitors and direct people to the appropriate destination, answer telephones, transfer calls and take messages.
- Assists with projects as requested
- Dispose of confidential client and/or Agency materials.
- Ensuring complete accuracy of clinical documentation for services rendered
- Perform accurate data entry for billing coordinator into billing software provided by T/BRHA and submit to PSA for services rendered to all payment sources.
- Participate in the data verification process according to agency and professional guidelines.
- Assist Billing Coordinator with other various duties as needed.
- File and maintain billing data for the agency.
- Provide backup for receptionist and/or front office duties to include: greeting visitors and directing people to the appropriate destination, answering telephones, transferring calls and taking messages.
- Perform procedures for opening and closing the office to ensure the safety of staff, clients, and Agency property when needed.
- Order of common area and office supplies
- Other duties as assigned.
Qualification Requirements
Education/Experience
- High school diploma or GED; and
- Two years of experience in medical records functions.
Knowledge of:
- Business equipment, computers, computer software and office procedures.
- How to manage and maintain medical records in accordance with clinical and legal guidelines.
- General accounting practices.
Skills:
- Ability to organize projects, prioritize workflow and complete multiple tasks simultaneously and accurately.
- Competency in the preparation of accurate reports from file records and source material and ability to conduct special research as required.
- Above average written and verbal communication skills, with the ability to compose and proofread written materials.
- Demonstrated ability to exercise independent judgment, initiative and tact in dealing with management, supervisors, and staff.
- Capable of using judgment and tact in dealing with clients at reception area.
- Able to effectively and politely answer a large number of telephone lines, take messages and transfer calls; greet office visitors, announce appointments and direct people to the appropriate destination.
- Ability to maintain confidentiality
Physical Requirements
Lifting/Pushing/Pulling:
Must be able to lift and carry boxes/packages up to 50 pounds as needed. Must be able to push and pull file cabinet/desk drawers open and closed daily.
Body Positions/Movements:
Sits in a chair at a desk for extended numbers of hours each workday: moves from office to office. Must be able to retrieve items/supplies on overhead shelves and bend/stoop to reach files located in bottom file cabinets.
Hand Use/Sense:
Manual dexterity sufficient to use calculator, telephone, keyboard and various office machines on a daily basis and be able to write. Must be able to communicate both in person and on the telephone, enter information on the computer and read various instructions. Be able to read numbers, reports, and computer terminals.
Mental Requirements
Must be able to analyze many variables and choose the most effective course of action. Personal maturity is an important attribute. Must be able to resolve problems, handle conflict and make effective decisions under pressure. Ability to give, receive, and analyze information, prepare written materials, and articulate goals and action plans. Ability to do simple math calculations, input data into the computer, and analyze data as requested.

Must be able to use computer and other office machines such as fax, calculator, telephone, copy machine.
