This position will be part of the team in our Corporate office in Madison, Wisconsin. Berbee Information Networks is the predominant technology solutions provider in this region. Madison is the only American city built on an isthmus which provides a beautiful setting and many recreational opportunities. RESPONSIBILITIES:
Completes all professional services related administration for Delivery teams. Creates and maintains engagements/projects/tasks in the Changepoint billing system. Determines appropriate structure for each services engagement. Determines region, division and sales ownership, tax status, activity type, revenue recognition, etc. for each services engagement. Administers rates, adds and removes resources, creates milestone billing records.
Provisions timely engagement information to delivery teams through managing request queue. Communicates directly to all relevant parties. Responsible for daily completion of all requests.
Troubleshoots time entry problems. Works both in person and remotely with engineers, sales and managers to investigate and resolve billing issues. Takes ownership of issues and works with internal support staff as needed to complete.
Assists in the preparation and management of contractor documents. Maintains contract management system, including review of all contracts in place, update and replacement of expired contracts, and online storage of all services contracts. Assists with processing of new contractor documentation. Facilitates contractor setup in Accounts Receivable and Payable. Ensures accurate contractor time/expense entry in Changepoint.
Manages and reports on client prepaid services. Monitors budget to actual calculations on retainers to ensure accurate time entry and services billing. Compiles client facing reports accordingly.
Processes accounting documents for payment of bills, ensuring that charges are made to the appropriate cost centers. Obtains, routes, distributes and files customer contracts.
Assists Finance department with month and year-end invoicing processes.
Assists in time and expense training of new engineers during orientation.
QUALIFICATIONS:
High school degree required.
Associate degree in a business related or accounting related program preferred.
Minimum of 2 - 3 years in administrative support for professional services organization preferred.
ERP experience preferred; specifically Changepoint.
Must maintain a positive work environment at all times.
Must be able to work at continuous high level of accuracy.
Must be able to organize and implement record keeping databases.
Must have strong working knowledge of Microsoft Office tools.
General knowledge of computer technology and Internet.
Strong facility for working over the phone and through email.
Ability to multi-task.
Self-motivated and self-directed.
Excellent problem solving skills and follow through.
