Job Description:



Overview

To provide administrative support to the President of the World Wide Consumer. Performs advanced, diversified and confidential administrative management duties requiring broad and comprehensive experience, skill and knowledge of policies and practices. Prepares correspondence, memoranda, reports, non-disclosure agreements, etc. Initiates routine and non-routine correspondence and memoranda. Screens telephone calls and resolves routine and complex inquiries. Schedules appointments, meeting and travel itineraries, and coordinates related arrangements. Prepares and distributes various meeting minutes. Utilizes the assistance of partnering companies’ and interoffice administrators as necessary.Key Responsibilities
Manager complex travel arrangements, calendaring and scheduling and reserve conference space using Outlook
Create and maintain systems to support President and the Sales and Marketing team including filing systems, a/p invoice tracking system and resume tracking system.
Maintain calendar for President (and possibly other executives.)
Make travel arrangements for the President and team members.
Ensure expense reports are submitted and completed in a timely manner. Cross check expense reports with executives’ credit card statements.
Coordinate candidate interview schedules and work with facility manager to prep space for new hires.
Handle incoming calls, voicemail and e-mail as requested. Respond to all telephone calls in a timely and professional manner. Open and distribute mail and paychecks.
Compose and type correspondence, filing, dictation, faxing and copying.
Aid in department operational duties, which includes ordering supplies, coding and
processing bills and expenses.
Interface with executives and their assistants.
Facilitate external and interoffice communications between the President of the Sales and Marketing teams.
Special projects as needed or requested.

Desire to work and develop career path in the consumer products industry.
Technology-savvy individual able to demonstrate knowledge of Word, Excel, PowerPoint, Microsoft Outlook, and the Internet.
Capacity to manage and prioritize many projects at one time in a fast-paced, constantly changing environment.
Excellent organization and follow through skills. Strong administrative and problem solving skills.
Ability to adjust work style in order to work individually with little supervision and as a strong team player.
Demonstrated strong written and verbal communications skills.
Excellent interpersonal skills.
