Marketing & Communication Assistant
Summary/Position Objectives:
Under the general direction of the Director of Customer and Enrollment Services, this position is responsible for providing administrative support in the production and tracking of member education and marketing materials and assists with the implementation of communication, education and marketing activities.
Responsibilities:
Essential Functions:
Develops and maintains a tracking system for all internal and outside approvals for communication/education and marketing materials.
In conjunction with Customer and Enrollment Services, assists in maintaining three different formularies. Prepares member notifications for formulary changes and project sheets for posting revisions on the appropriate Web sites.
Maintains project sheets and coordinates submittals to Help/Service Desk for Web site changes.
Determines estimated numbers for publication mailings and coordinates mailing label extracts.
Retrieves data/reports from the system on ethnicity, language line usage, etc.
Proofs provider listings for directories and marketing brochures.
Maintains and updates marketing work plans; assists in preparation of weekly status reports.
Coordinates quarterly Membership Advisory Council meetings, including preparation of agendas, minutes and packets and arrangements for member transportation and lunch.
Formats member education/communication materials, including letters, reports, flyers and other required material.
Performs other duties, assignments, and responsibilities as assigned or required.

Ability to function independently and complete tasks in a timely manner.
Works in a manner that is not disruptive to peers, supervisors and/or subordinates.
Must maintain regular and acceptable attendance at such level as is determined in the employer's sole discretion.
Must be available and willing to work such days and hours as the employer determines are necessary or desirable to meet its business needs.
Must be available and willing to travel to such locations and with such frequency as the employer determines is necessary or desirable to meet its business needs. (If travel required.)
Knowledge and Skills:
Moderate choice of action requires logic, understanding to analyze problem and determine course of action. Reads, writes and orally communicates at a level to correctly solicit/explain information. Must use tact, diplomacy and sensitivity in communications within and outside the organization. Experience in the development of health education and outreach materials desirable.
Education and Work Experience:
A minimum of three years administrative experience in a fast paced environment, preferably health care environment.
Proficiency using Microsoft Office software, particularly Word, Excel, Access, Project and Outlook
Work Environment Qualifications:Position is an office environment. Incumbent may be required to sit for extended periods, entering and manipulating data on a workstation computer and participating in team/executive meetings. Approximately 75% of daily responsibilities will be working both one-on-one and in teams with other personnel and extended one-on-one contact in a quiet environment where hearing and listening is paramount. Occasional requirements are to: stand, walk, use hands to manipulate, handle or feel objects, tools, or controls, reach with hands and arms, stoop, kneel, and lift/move up to 25 pounds. Incumbent may be scheduled to work an alternate schedule to accommodate essential business needs.
